Start with three simple emails:
Email 1: Welcome and Purpose
Send this immediately. Thank the subscriber and explain your mission in one clear paragraph. Include a photograph showing your work and one link to learn more.
Email 2: Show Your Impact
Send it two or three days later. Share one genuine project story supported by measurable results. Explain the challenge, your NGO’s response and the difference created.
Email 3: Invite Participation
Send it after another three or four days. Offer clear choices: volunteer, donate, attend an event, share your campaign or propose a partnership.
Keep each email brief and focused on one action. Use a friendly sender name instead of a generic address such as “admin.” Ensure the subject line clearly describes the email’s value.
Avoid requesting donations in every message. First help subscribers understand your organisation and feel connected to its purpose. Test all links, make emails mobile-friendly and include an easy unsubscribe option.
Track open rates, link clicks and responses. These numbers will show which stories and opportunities interest your audience most.
